With everything coming in your direction, do you actually know what you're busy with?
Most agencies are making assumptions they haven't tested.
Here's a common one: calls after 6pm are mostly property management, tenants, maintenance and access issues, they're not worth prioritising for sales coverage.
We've seen that assumption challenged directly from our own data. One client discovered that 10% of their out of hours calls were genuine sales enquiries! Owners wanting to sell, landlords ready to list, buyers and tenants keen to move. Not noise but opportunity quietly missed because the assumption was never questioned.
The same issue exists during the day, when inbound is busy, how consistently is intent being logged? Someone wanting a valuation, someone asking for Steve, a tenant chasing a maintenance update can all look the same at the top of the funnel if nobody's categorising properly and in a fast moving office, categorising feels like the thing that can wait.
So if the top of your funnel isn't clean, everything downstream loses meaning. You might think your inquiry to viewing conversion is weak. In reality, half of what you're counting was never a viewing opportunity at all. Equally, you might think you need more marketing to drive valuations based on a relatively low conversion rate but the reality is there is demand sitting in out of hours or busy periods that you're simply letting go.
It's a visibility problem across the whole day, across all channels, across the assumptions that have quietly become accepted.
When inbound is properly understood and categorised, the picture changes. You know what proportion of activity is service and what's revenue. Forecasting becomes more grounded, resource planning makes more sense and the gaps you didn't know existed become visible.
The real question isn't how busy you are, it's whether you actually know what you're busy with.
