    Is your CRM actually the problem?

    CRMs get a rough ride. "It's clunky, it's messy" "No one updates it properly" "The data's useless"

    But in reality, your CRM is the backbone of your business. It's where your pipeline lives, it's where your follow up sits and it's where your future instructions should be forming. It's delivering more than you think and the issue usually isn't the system, it's how information flows into it.

    When you're busy, and property businesses always feel busy, the priority is obvious… valuations, negotiations, solving problems and making sure deals get done.

    Updating the CRM perfectly isn't the thing that gets you paid so it slips, you write it down or it gets done later. That's not laziness, that's reality, that's the job.

    The mistake is treating CRM discipline as something you enforce and police.

    In my experience, it works far better when it's built into the flow of how you operate. If qualification is consistent at the point of conversation, if key details are captured properly as they're shared, if follow ups are triggered as part of the process rather than relying on someone remembering later the CRM starts to look after itself.

    You don't need perfect data, you need consistent data that happens by design not enforcement.

    When that consistency improves, everything downstream improves with it. Outbound becomes more targeted, partner introductions happen at the right time and managers can actually see what's going on without digging.

    You're never going to run an agency that isn't busy and your CRM will probably never be spotless but before blaming the system, it's worth asking whether the strain is coming from the way information is captured and passed around.

    When that part becomes smoother whether it's through better process or better use of tools that capture conversations properly, the CRM stops feeling like an admin burden and starts doing what it was meant to do.
